CRM for insurance agents in Malaysia: your options
Most insurance agents in Malaysia use one of three things to track clients and renewals: their insurer's own agent app, a general CRM with a free plan such as HubSpot or Bigin, or a spreadsheet with WhatsApp. Insurer apps cover only that insurer's policies, while general CRMs need setting up for policies and renewals. Agents who sell for more than one insurer, or run an agency, usually need their own record across all of them.

Three common options
| Option | Example | Cost | Good at | Watch for |
|---|---|---|---|---|
| Insurer's agent app | Allianz 360 (Allianz Malaysia Berhad), for Allianz agents | Provided by the insurer to its agents | Clients, recruits, policies and leads for that insurer, signed in with the agent ID | Covers one insurer only. The record belongs to the insurer's system. |
| General CRM | HubSpot free CRM; Bigin by Zoho | HubSpot: free for up to 2 users and 1,000 contacts. Bigin: free for 1 user and 500 records, paid plans from US$7 per user a month billed yearly | Contacts, pipelines, reminders and email | Not built for policies, renewals or insurers. Prices are in US dollars, and local tax is added. |
| Spreadsheet and WhatsApp | Google Sheets or Excel | Free or already paid for | Quick to start, and flexible | No reminders, easy to overwrite, and hard to share safely with a team. |

What to check before you choose
- Renewals first. Can it remind you, and the client, before a motor, medical or life policy renews?
- Every insurer in one place. If you sell for more than one insurer or takaful operator, can it hold all of them?
- Who owns the record. If you change agency or insurer, can you export your own clients?
- Personal data. Client records are personal data under the Personal Data Protection Act 2010, so check who can see what, and where the data is kept.
- Team access. In an agency, each person should sign in with their own account, with the agency deciding what each role can see.

Do insurers give agents their own app?
